Registration issues

I just registered for my meeting, what happens next?
  1. You will receive an email confirmation that includes:
    • A "Click Here to Attend" link.
    • A browser test link.
    • A toll free phone number to call for the audio portion of the meeting. (optional)
  2. If you are unable to find your confirmation email message, try looking in your spam folder.
  3. As soon as you receive your confirmation message, click on the browser test link to make sure that your computer is configured correctly.
  4. At least 15 minutes before your meeting begins, click on the "Click Here to Attend" link in your confirmation email.
  5. After clicking on the "Click Here to Attend" link, you will need to enter the email address that you registered with. Some meetings also require a password.
  6. If for some reason the audio doesn't come out of your computer speakers, the confirmation email may include a toll free number to call so that you can listen to the audio portion of the meeting via phone.
I'm unable to attend the meeting that I registered for. Do I officially have to cancel or just not show up?

For free events, it is not necessary to unregister. If you would like to stop receiving email reminders, you will need unregister.

For paid events, you will need to unregister. Login using your Profile email and password then click the "Unregister" button under "My Registered Events".

How do I unregister for my event?

You may only unregister for events that have this feature enabled in the automated registration system.
Check your confirmation or reminder notifications for an unregister link.

I'm trying to register multiple people for one meeting but when I try to register the second or third person, I get a message telling me that I'm already registered. What's going on?!

After you register one person, the registration system places a cookie in your browser that prohibits multiple registrations. To get around this problem:


For Internet Explorer
  1. Go to the "Tools" menu at the top of your browser window.
  2. Select "Internet Options"
  3. Click on "Delete..." under "Browsing history"
  4. Click on "Delete cookies"

For Firefox
  1. Go to the "Tools" menu at the top of your browser window.
  2. Select "Options"
  3. Click on "Clear Recent History"
  4. Select the "Cookies" check box
  5. click on "Clear Now"

For Safari
  1. Click on the circular gear icon in the upper right hand corner of your browser window.
  2. Select "Reset Safari"
  3. De-select everything except for "Remove all cookies"
  4. click on "Reset"

For Google Chrome
  1. Click on the wrench (tools) icon in the upper right hand corner of your browser window.
  2. Select "Options"
  3. Click on the "Clear Browsing Data..." button
  4. De-select everything except for "Delete cookies and other site data"
  5. click on "Clear browsing data"
  6. click on "close"

I need to change the email address I supplied when I registered.
  1. Go to the registration website that lists all of your meeting sponsor's upcoming events.
  2. Click on "Login / Create Profile"
  3. Enter your email address and current password to login.
  4. Click on "Update Profile"
  5. Enter the new email address and click "Save"

Attendance issues

I'm registered for my meeting but I can't get in. I'm clicking on the "Click Here to Attend" link in my email message but I'm having trouble accessing the meeting.

There are several possible reasons for this problem.

  • After clicking on "Click Here to Attend", make sure you're entering the same email address that you initially registered with.
  • Occasionally someone (Person A) registers for a meeting, receives a confirmation email message and forwards it to someone who hasn't registered for the meeting (Person B). When Person B clicks on the "Click Here to Attend" link and enters their email address, they receive an "invalid email address" message. The fix is easy. Person B just needs to register for the meeting, receive their own confirmation email and click on the attend link.
  • Make sure that you're clicking on the "Click Here to Attend" link and not on the "Browser Test Link".
  • Your computer/web browser may not have all the software that it needs (for example, Java, Active X, Live Meeting) Clicking on the "Browser Test Link" in your confirmation email can help with this. Also after cliking on "Click to Attend" - be sure to notice any yellow message bars that appear at the top of your browser window asking for your permission to install software.

Webcast technical issues

I'm able to see the slides, but I can't hear anything. What do I do?

If no audio is coming out of your computer speakers, check that your speakers are on and the volume is turned up, if provided. You can also call the toll free number included in your confirmation or reminder emails to listen to the audio portion of your meeting via phone.

I clicked on the browser test link in my email and downloaded the necessary software but I still can't get into my meeting. What do I do?

After downloading any necessary software (for example, Active X, Microsoft Live Meeting, etc.) you may need to close down your web browser (Internet Explorer, Firefox, Safari, etc.), go back to your email message and click on "Click Here to Attend" again.

My computer is stuck on the same screen and nothing is happening. What do I do?

Occasionally when someone clicks on "Click Here to Attend" early, i.e. before a meeting starts, they're taken to a 'standby' screen. With some computers the screen will just stay there even after the meeting starts. What often works in this situation is either refreshing your browser (hit the F5 key) or going to the email confirmation and clicking again on "Click Here to Attend".

General Questions

Where is my confirmation or reminder e-mail regarding the event I registered for?

If your organization is using an anti-SPAM security product it may classify and treat e-mails from our automated registration system as SPAM (Unsolicited Commercial Email).

This causes e-mails from our system to skip the Inbox. If you have signed up for an event and don't see the confirmation e-mail we sent you, check your SPAM folder or Junk folder for any messages related to the event you registered for. Depending on the filter you are using, you may be able to designate the e-mail as Not SPAM or add the Sender to your Safe Senders so that they will appear in your Inbox as requested.

If you continue to have issues receiving e-mails from any events hosted on www.eventsvc.com or have issues registering please call Registration Support.

Can I attend a meeting from a different computer than the one I registered on? The confirmation email message that I recieved says "Do not forward this email message."

Yes it is possible to attend a meeting from a different computer. Just forward your email to any email address that you can access from your second computer. When you click on the "Click Here to Attend" link, be sure to enter the email address that you originally registered with.

Please note that if you forward your confirmation email to someone who hasn't registered for the meeting, the "Click Here to Attend" link will not work for them. They must register themselves.

I missed the event or cannot attend at the scheduled time. Will there be a recording?

If a recording is available it will be emailed to you several days after the event. This email is typically a "Thank You for attending" or "Sorry you did not attend" communication and contains a link to view the recording.

Are you approved to provide CEUs, CLE or other type of Continuing Education credits for the event I registered for?

Registration Support does not have information regarding these credits.

You will need to ask the Presenter, Meeting Organizer, Event Sponsor or the Sponsor’s CE Administrator for this information.

Are there advance handouts for the event I that I registered for?

Typically when you attend a meeting online, you can print out the slides that you're seeing.

For advance hand outs, you will need to ask the Presenter, Meeting Organizer, Event Sponsor for this information.

Lotus Notes does not support opening .ics attachments (Ical) from outside the Lotus Notes application.
How do I add the event information to my calendar?

IBM recommends that the user drag and drop the meeting file onto the Calendar.

Instructions are provided below for saving a meeting invitation into a Lotus Notes 8.0 Calendar:

  1. Click the “Add to my calendar” link from your email.
    • If you are using Internet Explorer, you will be prompted “Do you want to save this file, or find a program online to open it?”
    • Click the “Save” button to save it to your computer.
    • If you are using Mozilla Firefox, you will be prompted “What should Firefox do with this file?”
    • Click “Save to Disk” to save it to your computer.
  2. Drag the saved meeting file to your Lotus Notes application.
  3. The “Import Calendar” window will be displayed. Enter the “Calendar Name”. It is recommended that you use the same Calendar Name, such as “Meeting Invitation”, each time you import a meeting to your Lotus Notes Calendar.
  4. Click “OK” and the meeting will be added to your Calendar.
